Upload Guide


This page is for Section Editors (registered users of our online Gallery). It provides guidance on the upload process of coin pictures and should answer your most common questions.


Uploading coins is a two-stage process:

Step 1 - upload picture

Sign in under your user name and click on "Upload file" on the top of any screen.

There are two ways to upload - a file saved on your hard drive or directly from the internet (for example, of a coin you see in an online catalogue or auction).

From your computer drive: select the "Browse" button next to one of the "File Uploads" fields. You can browse your computer hard drive and select the file to upload.

From the internet: cut and paste the URL of the coin picture into one of the "URI/URL Uploads" fields.

Please note: you must copy the actual URL of the picture, not the HTML page where the picture is shown. You can recognize the correct URL by its ending - it should end in ".JPG" (not ".HTM" or ".HTML"). Sometimes you must right-click on the picture and select "Properties" in order to see the correct URL of the picture.

Once you have selected a file to upload or the URL of the image, click on "Continue." The next screen you will see will tell you of the upload was successful. If it was not, you did something wrong and need to repeat Step 1. If the upload was successful, click again on "Continue" and go to Step 2.


Step 2 - place coin in correct city/mint and copy description

This step requires a bit of accuracy and you should follow the following guidelines. Don't worry - if you make a mistake, it can be fixed later, as all uploads require further approval.

You will see a screen with several fields:

Album: click on this field and select the city/mint of the coin you are uploading. The list is alphabetical. Please note that we are using Greek spellings of city names (e.g. Tarsos not Tarsus), so you may have to look carefully for Roman cities.

File title: this field should contain the city/mint name, the dates of minting/circulation, the metal/denomination, and then any other info (such as the ruler's name).

Example 1 - Pinara (BC 410-390) Stater - Kherei
Example 2 - Komama (BC 1st cent) AE 14
Example 3 - Aigeai (AD 138-161) AE 25 - Marcus Aurelius

Note that that we are using Greek city names (not Roman spellings), and BC/AD always precedes the dates. We have a strict format for this field (which places the coin in its correct time sequence), so please take a look at other coins for correct format. If you are unsure about this, just leave the field blank.

File description: this is where you describe the coin, giving the proper information. Please see our Submit Coin page for the type of information we need. If you are uploading a coin from an online source, you can simply cut and paste the description provided into this field.

Kewords: this field should contain (1) the metal of the coin (gold, electrum, silver, bronze, billon) and (2) the historical era (archaic, classical, hellenistic or roman). Spell out the full words ("silver," "archaic"). No other info should be placed in this field.

References: this field should contain the references for the coin you are uploading. If the references were provided in the description, please cut and paste them into this field. If you are unsure, leave the field blank.

Valuation: this field should contain the estimated or actual sales price of the coin, including the source of the valuation. So, if it is a dealer auction, you may want to use this format:

Example 1 - CNG Auc. 69 (6/2005), lot 191 ($500 + comm)
Example 2 - CNG Elec. Auc. 121 (8/2005), lot 135 ($135)

Once you have filled out the fields (as best as you can), click on "Continue" and your upload should be complete.
